What we collect, and what we never do with it.
Plain English first: we do not sell your personal information, and we never have.

The short version. We collect what we need to quote your coverage, enroll you, prepare your return or fill in your form. Nothing beyond that. We share it with the carriers and agencies that have to see it to do that work. We do not sell it, rent it, or hand it to advertisers. You can ask us for a copy or a deletion at any time.
What we collect
Information you give us
When you complete a form on this site — a quote request, the contact form, an agent application, or a referral — we receive what you type into it. Depending on the form, that can include:
- Your name, phone number, email address and ZIP code
- The kind of coverage you are asking about, and when you need it
- Date of birth and tobacco use, for life and Medicare quotes
- Household size and estimated income, for ACA subsidy estimates
- Whatever you choose to write in a free-text message
If you go on to become a client, we collect more: the information a carrier application or a tax return requires. We ask for it directly and we tell you why at the time.
Sensitive information
Some of what we handle is sensitive by nature: health conditions for a life or health application, income for a subsidy, immigration status for a form we help you prepare. We ask for it only where the carrier, the IRS or USCIS requires it, we keep it to what that specific application needs, and we do not use it for anything else.
Information collected automatically
- Analytics. We use Google Analytics 4 to count page views and to see which buttons people press: calls, WhatsApp, quote requests, self-quote links. It records the page and the type of action, never your name, your email or anything you typed into a form. Google sets cookies to do this.
- Server logs. Our host, Netlify, records the ordinary details of a web request: IP address, browser, time, and which page was asked for.
- Fonts. Our pages load typefaces from Google Fonts, which means your browser contacts Google's servers and Google sees your IP address when a page loads.
How we use it
- To quote, compare and place coverage with the carriers we represent
- To service a policy you already have: changes, claims, renewals, cancellations
- To prepare a tax return, an ITIN application or an immigration form you have asked us to prepare
- To answer you, and to follow up on a request you started
- To meet our obligations as a licensed agency: carrier record-keeping, state insurance regulators, and IRS rules for paid preparers
- To understand which parts of this site are useful, in aggregate
By giving us your phone number you agree that we may call, text or email you about your request. Message and data rates may apply, and you can stop text messages at any time by replying STOP or by telling us.
Who we share it with
We do not sell your personal information, and we do not share it for anyone else's advertising. We share it only in these situations:
- Insurance carriers and their platforms, when you ask us to quote or enroll you. The enrollment sites we link to are separate companies with their own privacy policies, which govern anything you enter there. Those are HealthSherpa for ACA plans, Ethos for life insurance and National General for supplemental health.
- Government agencies, where a service requires it: the IRS and state tax authorities for a return we prepare, USCIS or the Department of State for a form we help you assemble.
- Service providers that run this site for us. Netlify hosts it and delivers our forms, Google supplies analytics and fonts, HubSpot runs the meeting scheduler we link to. They may only process what they need for that job.
- When the law requires it. A subpoena, a regulator's examination, or a legal claim.
Our intake tools and checklists
These tools do not all behave the same way, so here is each one.

Once you have filled in your name and phone number, we receive those along with your email, ZIP code, the coverage you asked about and your current renewal date. That is what lets an advisor call you back, including when you close the page halfway through. The screen says so where you type them.
The rest of the form stays on your device. Dates of birth, licence numbers, VINs, property details, claim history and anything you write in a notes box are saved in your browser and go nowhere until you send them yourself, using the WhatsApp, email, PDF or download buttons at the end.
The immigration intake at kivulink.com/intake
This one transmits nothing at all. Every answer, including your status, your family and the background questions, stays in your browser. When you press WhatsApp or email at the end, your own app opens with a summary written into it, and you decide whether to send it. We built it this way on purpose: an immigration answer is not something to hand over before you have chosen to.
The document checklists under Community resources
Ticked boxes and the names you type stay in your browser. Nothing is sent to us. You are welcome to use them without ever contacting us.
Anything held on your device is deleted when you clear your browser data, and anyone else using that browser profile can see it. On a shared or public computer, use the erase button when you are finished.
How long we keep it
If you asked for a quote and did not become a client, we keep the request while we follow up and for a reasonable period afterwards in case you come back to it. For clients, we keep records for as long as the policy or the engagement is active and afterwards for the period our carriers, the Texas Department of Insurance, other state regulators and the IRS require paid preparers and producers to retain them. When a record is no longer needed for any of those reasons, we dispose of it securely.
Your choices and rights
You can ask us to:
- Tell you what personal information we hold about you
- Give you a copy of it
- Correct something that is wrong
- Delete it, where we are not required to keep it
Email info@kivulink.com or call 832-775-2509 and say what you want. We will verify who you are before we act, which is a protection for you, and we answer within 45 days.
Texas residents have these rights under the Texas Data Privacy and Security Act. Some of what a licensed insurance agency holds is instead governed by federal financial-privacy law, which carries its own protections; where that is the case we will tell you which rule applies to your request rather than simply declining it.
To stop the analytics described above, use your browser's cookie controls or install Google's opt-out browser add-on. Blocking it does not affect anything else on this site.
Children
This site is not directed to children under 13 and we do not knowingly collect their information. We do handle information about children as dependents on a parent's application. That comes from the parent, with their consent.
Changes to this policy
If we change how we handle your information we will update this page and change the date at the top. Material changes will be noted on the page for at least 30 days.
